QuickBooks Online FAQ

Frequently Asked Questions about Skimmer's integration with QuickBooks Online . . .

Does the integration work with Inventory products in QBO?

Yes, The invoice deducts from the inventory count when it is sent to QBO.

Do changes in QBO update items in Skimmer?

No, the one-way integration only sends data from Skimmer to QBO.

How does customer matching work?

  1. The customer in Skimmer gets sent to QBO.
  2. QBO flags the customer because the first name and last name fields in Skimmer match the QBO Display Name field.
  3. If the customer is set to "Display as company" in Skimmer, QBO flags the customer because the company name in Skimmer matches the Display Name in QBO.
  4. Then Skimmer checks the street address for the customer in QBO. If they match, the customers are linked across both systems.
  5. If the customer's street address does not match, Skimmer checks the email address field. If the email address matches, the customers are linked across both systems.
  6. If the above conditions are not met, a new customer is created in QBO.

Will my old invoices be sent once the link is activated?

The sync only sends newly created invoices, so that the reporting of invoices is not duplicated.

When are my invoices sent to QBO?

When a payment is successfully added to an invoice in Skimmer Billing, the payment and invoice data is sent to QBO.

How do I push items to QBO?

Once the sync is enabled, Skimmer automatically sends information to QBO based on the work performed in Skimmer. Every time a synced item is created or saved, Skimmer creates or updates the item in QBO.

Will changes in Skimmer update QBO?

Yes, when updates to Customers, Products, Work Order Types, Dosages, Invoices, and Payments are saved in Skimmer, it will send those updates to QBO.

When a deposit from Skimmer is made into my bank account, it looks like the "fee" is withdrawn prior to hitting my account. So in QB, when I take the deposits from "undeposited funds" to reconcile my account, the total doesn't match what has been deposited because the "fee" is not going into QBO anywhere. What do other companies do?

The amount deposited in the bank account will not match the amount in the undeposited funds. We recommend using the Payout Received Detail report in Skimmer to find the Fee amount in order to manually record the fee in QBO.

When an invoice includes sales tax, does it map to a sales tax group in QBO, or does it simply appear as a line item? Will I still be able to run sales tax reports in QBO, or is that done solely in Skimmer now?

The sales tax collected on an invoice in Skimmer is sent to QBO as part of the invoice. QBO then applies its own services to categorize that sales tax. So you should still be able to generate sales tax reports in QBO.

What is the QBO Activity Log?

The new QBO integration is designed to automatically sync customers, paid invoices, products, and other information from Skimmer into QBO. However, there may be instances where certain information, such as a product, fails to sync to QBO. In such cases, you can find more details in the Activity log tab under the QBO Billing integration.

Why are there errors in my QBO Activity Log?

The QBO Activity Log may show errors in syncing certain information, such as products, from Skimmer to QBO. Common errors have descriptions for necessary changes, while unknown errors require the batch ID for further investigation. To retry syncing, edit and save the unsynced item.
