Heritage Ordering FAQ

What is Heritage ordering?
Heritage ordering lets you order pool supplies directly from Heritage without leaving Skimmer. You can place orders, track their status, and link items to customers, work orders, and quotes.

Do I need item sync set up to use Heritage ordering?
No. Heritage ordering works without item sync, but the two features are compatible if you want both.

Who can place a Heritage order?
Only users with the "can place Heritage orders" permission. By default, this permission - along with the other three Heritage permissions - is enabled only for the admin role. You can turn it on for other roles in roles and permissions.

What's the difference between creating a draft order and placing an order?
Creating or editing a draft order doesn't spend any money. A draft stays in the draft tab until someone with permission to place orders checks it out and submits it to Heritage.

Is a draft order the same as an order I saved for later?
Yes. Selecting Save for Later at any point keeps the order in the draft tab until you check out and place it.

Why can't I find past Heritage orders I placed before connecting Skimmer?
Skimmer only displays orders created in Skimmer. Orders placed directly with Heritage outside of Skimmer don't appear on the Heritage order page.

What does the branch I select on an order control?
The branch controls which products are available and at what price, since stock and pricing depend on that branch's inventory.

What happens if I change the branch on an order I'm already building?
If an item on the order isn't stocked at the new branch, you can't save or place the order until you remove the unavailable items or change the branch back.

What's the difference between "out of stock" and "not stocked"?
Out-of-stock items are temporarily unavailable at the branch but you can still add them to the order. Not-stocked items aren't sold at that branch at all, and you can't order them unless you change the branch.

Can I still place an order if an item is out of stock?
Yes. The system flags out-of-stock items, but it doesn't prevent you from placing the order.

Do I have to select a delivery method to save an order?
No, but you do need one to place the order. You can save a draft without selecting a delivery method first.

What's the PO number for?
It's for your internal records only. You can reuse the same PO number across multiple orders to find and organize them later.

Why is my order stuck in "submitted" status?
Submitted means Heritage's API approved the order, but their system hasn't confirmed fulfillment yet. This usually resolves within 15 minutes. If it stays in submitted status longer than that, contact Skimmer support.

Why is my order "on hold"?
This usually means one of two things: there's an error with the order that needs your attention, or your account is past due with Heritage and their system is automatically holding all of your orders. If you think it's an error, edit the order or contact Skimmer support.

Can I link an order to a customer?
Yes. Linking a customer also gives you the option to ship the order to that customer's service location instead of your default ship-to address.

Can I link individual items instead of the whole order?
Yes. You can link individual items to a customer's work order, which creates a shopping list item and tracks the item through installation.

If I unlink a customer from an order, what happens to the order?
The order stays available for anyone on your team to use, and you can still link items individually.

Can I link an order to a quote?
Yes. You can link an existing order to any open or closed quote, and you can link multiple orders to the same quote.

Does creating an order from a quote affect the quote?
No. Adding, removing, or changing items on the order has no effect on the original quote - only the order changes.

How can I tell which items on an order came from a quote?
Items pulled from the quote show a "linked" tag. Items you add directly to the order don't show this tag.

Can I search by either my PO number or the Heritage order ID?
Yes. The order number search checks both fields at once, so you don't need to specify which one you're using.

What do the date filters search by?
They search both the date the order was created and the date it was submitted to Heritage, and return results matching either date.
