Nutshell Integration

Tiers: Enterprise, plus the Nutshell add-on

Permissions: Can view the Integrations Center (to connect) and Can view payment method page (to add the add-on)

Nutshell is a customer relationship management (CRM) tool for managing sales pipelines, contacts, and companies. The Nutshell integration keeps your Nutshell contacts and Skimmer customers in sync, so you don't enter the same person twice.

When a lead reaches the Nutshell stage you choose, Skimmer creates or updates the customer, adds a service location and body of water, and can create a work order. Skimmer also sends new customers and customer activity back to Nutshell.

Nutshell is a marketplace integration. You add it to your subscription and set it up with a step-by-step wizard in the Integrations Center.

What Nutshell can do

The integration runs three syncs. Each one has its own on/off switch, and every sync starts off.

Sync When it runs What it does
Nutshell to Skimmer Right away, when a lead reaches your trigger stage Updates the Skimmer customer with the same email address, or creates a new customer. Adds a service location and body of water from your field mapping, plus any Skimmer tags you choose. Can also create a work order.
Skimmer to Nutshell Once a day, at 12:04 am Eastern time Adds each new Skimmer customer to Nutshell as a contact, unless a Nutshell contact already has the same email address.
Skimmer activity sync Every hour Logs new entries from each customer's Skimmer activity log as completed activities on the matching Nutshell contact.

Tips & tricks

  • Skimmer matches records by email address. Keep each customer's primary email in Skimmer the same as the contact's email in Nutshell.
  • Customers without an email address don't sync activity to Nutshell.
  • Skimmer to Nutshell only adds new contacts. It doesn't change contacts that already exist in Nutshell.
  • If you don't map Minutes At Stop, Skimmer uses the Default Minutes At Stop value, which starts at 30. If you don't map a location code, it stays blank.
  • Skimmer doesn't build or change your Nutshell pipeline. Set up your stages in Nutshell before you choose a trigger stage.
  • If you add a new lead source in Nutshell, open the setup wizard and add it to Source Mapping.

Before you start

Contact your Skimmer customer success manager (CSM) for assistance before you begin configuring the Nutshell integration.

Setup takes about 15 minutes. You need:

  • A Nutshell login that can manage API keys and webhooks. This is usually a Nutshell administrator.
  • The Can view the Integrations Center permission in Skimmer.
  • An Enterprise subscription with the Nutshell add-on. If you don't have it yet, see Add Nutshell to your subscription below.

We recommend creating an activity type in Nutshell called Skimmer-logged activity before you start. You choose it during setup, and it keeps Skimmer activity easy to find and filter in Nutshell.

Add Nutshell to your subscription

Nutshell requires the Enterprise tier and a paid add-on. Its card shows Upgrade Required until you add it. You can buy the add-on and start setup in one pass.

If you add Nutshell partway through your billing cycle, the charge is prorated and included on your next Skimmer invoice. Only users with the Can view payment method page permission can add it. If you don't have that permission, ask your account owner or an admin. If your account isn't on the Enterprise tier, contact your Customer Success Manager about upgrading.

  1. Click Integrations Center on the left navigation menu.
  2. Find the Nutshell card. It shows Upgrade Required.
  3. Click Add integration.
  4. In the Add Nutshell? window, review the monthly price.
  5. Click Add Integration to confirm.
Skimmer adds Nutshell to your subscription and opens the Connect Nutshell window. Get your Nutshell details ready (next section) before you fill it in.

Get your Nutshell details ready

Before you connect in Skimmer, collect two things from Nutshell and add the Skimmer webhook. Do these steps in Nutshell.

Create a Nutshell API key

Skimmer signs in to Nutshell with your Nutshell email address and an API key. Treat the key like a password.

  1. Sign in to Nutshell.
  2. Click Settings in the lower left corner.
  3. Under Connections, click API keys.
  4. Click Add API key.
  5. Choose the permission type that allows API access.
  6. Name the key Skimmer so you can find it later.
  7. Save the key.
  8. Copy the key and keep it somewhere safe. You'll enter it in Skimmer later.
Keep this page open. You'll add the webhook here too.

Find your Nutshell account ID

Your account ID tells Skimmer which Nutshell account each update comes from. Nutshell shows it on its WordPress integration page, even if you don't use WordPress.

  1. In Nutshell, click Settings.
  2. Go to Integrations > WordPress > Configuration.
  3. Copy your account ID.

Add the Skimmer webhook in Nutshell

The webhook tells Skimmer the moment a lead changes in Nutshell, so customers are created as soon as a lead reaches your trigger stage.

  1. Return to the API keys page in Nutshell.
  2. Add a new webhook.
  3. Paste this URL into the URL field: https://hooks.prismatic.io/trigger/SW50ZWdyYXRpb246ZWM0MWQyNjMtYjA1ZC00MzE4LWFmY2MtMmY5NGMyNDA0N2Nm
  4. Name the webhook Skimmer.
  5. Save the webhook.
You don't need to pick event types. Nutshell sends every lead update to Skimmer, and Skimmer only acts on leads that reach your trigger stage.

Connect Nutshell in Skimmer

The setup wizard opens inside Skimmer and has six steps, listed on the left side of the window. Click Next to move forward or Previous to go back.

  1. Click Integrations Center on the left navigation menu.
  2. In the Available Integrations section, find the Nutshell card and click Connect. If you just added Nutshell to your subscription, the window is already open.
  3. On the Configuration step, enter your connection details:
    • Nutshell Connection: enter your Nutshell email address as the username and your API key as the password.
    • Nutshell Account Identifier: enter your Nutshell account ID.
  4. Click Next.
  5. On the Flow Settings step, turn on the syncs you want:
    • Enable Nutshell to Skimmer Sync: creates or updates Skimmer customers when a lead reaches your trigger stage.
    • Enable Skimmer to Nutshell Sync: adds new Skimmer customers to Nutshell once a day.
    • Enable Skimmer Activity Sync: logs Skimmer activity on Nutshell contacts every hour.
  6. If you turned on activity sync, select a Nutshell Activity Type. Choose Skimmer-logged activity if you created it. If you don't choose one, Skimmer uses the first activity type in your Nutshell list.
  7. Click Next.
  8. On the Map Nutshell Contact Fields step, click the corresponding Add to button to match a field in Nutshell with a field in Skimmer:
    • Nutshell Contact / Skimmer Field Mapper: match each Nutshell contact field to the Skimmer customer field it fills. When Skimmer updates an existing customer, fields you don't map keep their current values, and mapped notes are added to the end of the customer's notes.
    • Custom Field Values: set a fixed value for any Nutshell custom field. Skimmer adds these values to every contact the Skimmer to Nutshell sync creates in Nutshell.
    • Skimmer Tags: type tags in Tags on New Customers and Tags on Updated Customers. If you leave a list empty, Skimmer uses Created from Nutshell or Updated from Nutshell.
    • Nutshell Tag / Skimmer Tag Mapper: match Nutshell tags to Skimmer tags, if you use them.
  9. Click Next.
  10. On the Service Location Mapping step, click the corresponding Add to button to match a field in Nutshell with a field in Skimmer:
    • Nutshell / Skimmer Service Location Mapper: match Nutshell fields to Skimmer service location fields. You can use standard fields, custom contact fields, and custom lead fields. If you don't map an address field, Skimmer uses the customer's billing address.
    • Nutshell / Skimmer Body of Water Mapper: match Nutshell fields to body of water fields. If you don't map these fields, Skimmer names the body of water Pool and sets it to 0 gallons.
    • Default Minutes At Stop: enter the minutes at stop to use when you don't map Minutes At Stop. The default is 30.
    • Default Service Rate Type and Default Labor Cost Type: choose the types Skimmer uses when you map a service rate or labor cost amount but Nutshell doesn't send a valid type.
  11. Click Next.
  12. On the Create Customer in Skimmer step, set when and how customers are created:
    • Trigger Stage: choose the Nutshell pipeline stage that creates or updates the Skimmer customer.
    • Lead Source: choose the default lead source for new customers.
    • Source Mapping: click Add to Source Mapping to select and match Nutshell sources to Skimmer lead sources. For example, map Referral in Nutshell to Customer Referral in Skimmer. If a Nutshell source isn't mapped, Skimmer uses the default Lead Source.
  13. Click Next.
  14. On the Skimmer Work Order Mapping step, choose whether to create a work order. This step is optional.
    • Turn on Create Work Order When Lead Reaches Trigger Stage.
    • Select the Work Order Type.
    • Select the Work Order Date Field, the Nutshell date field that sets the work order date. If you don't have a date field, choose Leave unscheduled. Skimmer creates the work order without a service date.
    • Select the Assigned User.
  15. Click Finish. The Nutshell card changes to Connected and moves to the Connected Integrations section.
If you click Cancel or close the window before you finish, Nutshell stays Available. Click Connect to start again any time.

Test your connection

  1. In Nutshell, move a test lead into your trigger stage.
  2. In Skimmer, check your customer list. The customer appears within about a minute, with its service location and body of water.

Change your Nutshell settings

Use the setup wizard to turn syncs on or off, change your mapping, or enter a new API key. Your current settings are already filled in.

  1. Click Integrations Center on the left navigation menu.
  2. In the Connected Integrations section, find the Nutshell card and click Manage.
  3. On the Nutshell detail page, click Configure.
  4. In the Configure Nutshell window, click Reconfigure.
  5. Step through the wizard and update your settings.
Note: If you delete or replace your API key in Nutshell, update it on the Configuration step right away. Syncs stop until Skimmer has a working key.
  6. On the last step, click Finish. If you close the wizard without finishing, your existing settings stay the same.

Upgrade to a newer version

Most updates to the integration install automatically. When an update needs you to review your settings, an Upgrade button appears on the Nutshell detail page in place of Configure.

  1. On the Nutshell detail page, click Upgrade.
  2. In the Upgrade Nutshell window, add any new information it asks for and click Finish. Your integration keeps running. If you cancel, your current version keeps working, and you can upgrade later.

Pause or unpause Nutshell

Pausing stops all syncs but keeps your settings, so you don't have to set up the integration again.

  1. On the Nutshell detail page, click Configure.
  2. On the Configure Nutshell page, click the three dots menu.
  3. Click Pause Integration.

To turn syncs back on, open the three dots menu and click Unpause Integration.

Disconnect Nutshell

Disconnecting turns off all three syncs. Skimmer saves your settings, so you can reconnect later without starting over.

  1. On the Nutshell detail page, click Disconnect Nutshell.
  2. In the Disconnect Nutshell? window, click Disconnect to confirm. The Nutshell card moves back to Available Integrations.
Important: Disconnecting doesn't remove the add-on from your Skimmer invoice. To stop paying for it, remove the Nutshell add-on from your Payment Method page.

Troubleshooting

The activity type list says "Could not load activity types"

Skimmer can't sign in to Nutshell with the email address or API key you entered.

  1. Open the setup wizard and go to the Configuration step.
  2. Re-enter your Nutshell email address and API key.
  3. If it still doesn't load, create a new API key in Nutshell and enter that one.

Leads reach the trigger stage, but no customer is created

  1. Check that Enable Nutshell to Skimmer Sync is turned on.
  2. Check that a Trigger Stage is selected.
  3. Check that the Skimmer webhook is saved in Nutshell with the URL in this article.
  4. Check that the Nutshell Account Identifier matches your account ID in Nutshell.
  5. Check that the lead has an address in Nutshell. Skimmer can't create a customer without one.

The customer is created, but no work order

Check that Create Work Order When Lead Reaches Trigger Stage is turned on, and that a work order type is selected.

Skimmer activity doesn't show in Nutshell

  1. Check that Enable Skimmer Activity Sync is turned on.
  2. Check that the customer's primary email in Skimmer matches the contact's email in Nutshell.
  3. Wait for the next hourly sync.

New Skimmer customers don't show in Nutshell

  1. Check that Enable Skimmer to Nutshell Sync is turned on.
  2. Check that the customer has an email address in Skimmer.
  3. Wait for the next daily sync. It runs at 12:04 am Eastern time.

If a Nutshell contact already has the same email address, Skimmer doesn't add a second one.

Customer details show up in the wrong fields

Check your field mapping in the setup wizard. For example, if a Nutshell email field is mapped to a Skimmer phone field, emails show up as phone numbers.

Still stuck?

Contact Skimmer Support as soon as you notice a problem. Sync records are kept for only two weeks, so older problems are hard to trace. Include screenshots of your setup wizard steps and the name and email of a customer or lead that didn't sync. That gets you a faster answer.
