FieldPay Integration

Tiers: Scaling Up & Enterprise
Permissions: Can view the Integrations Center

FieldPay lets you pay your techs the same day for work they complete. The FieldPay integration sends completed route stops and work orders from Skimmer to FieldPay automatically, so you approve payouts without entering each job by hand.

What FieldPay can do

FieldPay turns completed work in Skimmer into payout requests. Here's how a job moves from the route to your tech's pocket:

  1. A tech completes a route stop or work order in Skimmer.
  2. If that stop or work order type is one of your payout triggers, FieldPay creates a payout request with the customer, service type, and amount already filled in.
  3. You approve the payout request in FieldPay, or FieldPay approves it automatically if you turn on auto-approve.
  4. Your tech gets paid on your FieldPay payout schedule. Same day is the default.

What FieldPay uses from Skimmer

From Skimmer What FieldPay does with it
Users Lists your techs so you can invite them to FieldPay and match completed work to the right person
Work order types Lets you choose which work order types trigger a payout
Completed route stops and work orders Creates a payout request for each one that matches your payout triggers
Labor cost Sets the payout amount. Route stops use the service location's labor cost. Work orders use the work order's labor cost.

Tips & tricks

  • FieldPay only creates a payout request for work that has a labor cost in Skimmer when it's completed. Set labor costs before you turn on sync.
  • Sync only picks up work completed after you turn it on, so going live never pays out old work by surprise.
  • FieldPay skips work it has already processed, so nothing gets paid twice.
  • FieldPay matches techs by email address. Use the same email for a tech in Skimmer and in FieldPay.
  • Work a tech completes before they join FieldPay isn't lost. FieldPay holds it and creates their payout requests as soon as they join.
  • Approvals and payouts happen in FieldPay, not Skimmer.

Before you begin

You need:

  • A FieldPay account. To sign up, go to myfieldpay.com.
  • A Skimmer plan that includes FieldPay (Scaling Up and above).
  • An email address for each tech in Skimmer, so FieldPay can invite and match them.
  • A labor cost for each kind of work you want to pay out.

Set labor costs for route stops

  1. Click Customers on the left navigation menu.
  2. Click Service Rates in the upper right corner.
  3. Click Configure Labor Cost.
  4. Enter the labor cost for your service locations and save your changes.

Set labor costs for work orders

  1. Click Settings on the left navigation menu.
  2. Click Work Order Types.
  3. Click the Edit icon next to a work order type.
  4. Enter a Default Labor Cost. New work orders of this type start with this amount.
  5. Click Save.

You can change the labor cost on any individual work order before it's completed, and FieldPay uses the updated amount. For more on work order types, see Create, Edit, or Delete a Work Order Type (Web).

Connect your account

You connect Skimmer and FieldPay with a pairing code from FieldPay. The code refreshes every 30 seconds, so open the Skimmer setup wizard first, then copy the code right before you paste it.

  1. In Skimmer, click Integrations Center on the left navigation menu.
  2. In the Available Integrations section, find the FieldPay card and click Connect. The Connect FieldPay window opens.
Note: If the FieldPay card shows Upgrade Required, your plan doesn't include FieldPay. Contact your Customer Success Manager about upgrading.
  3. In a new browser tab, sign in to FieldPay.
  4. Click the icon with your company name in the upper right corner.
  5. Click Integrations, then click Skimmer. A pairing code appears on the Connect Skimmer card.
  6. Click Copy next to the pairing code.
  7. Return to Skimmer and paste the code into the pairing code field in the Connect FieldPay window.
  8. Click Finish.
The FieldPay card moves to Connected Integrations in Skimmer. In FieldPay, the Skimmer page updates on its own and shows a Finish Setup checklist. Leave sync off for now and finish setup in FieldPay.

Finish setup in FieldPay

The rest of the setup happens on the Skimmer page in FieldPay. The Finish Setup checklist at the top tracks what's left: at least one payable tech, your payout triggers, and turning on sync. The checklist disappears once everything is done.

Review your techs

FieldPay lists every tech from your Skimmer account on the Techs card, each with a status.

Status What it means
Payable The tech is linked to a FieldPay member and gets paid for completed work.
Invited / Not invited The tech hasn't joined FieldPay yet.
No email The tech doesn't have an email in Skimmer. Add one so FieldPay can invite or match them.
Turned off Pay is off for this person, for example an office account.
  1. On the Techs card, review each tech's status.
  2. Turn Pay off for anyone who shouldn't be paid through FieldPay. Every new Skimmer tech starts with Pay on.
  3. If a tech's Skimmer email doesn't match their FieldPay email, click Map and link them to the right person.
  4. Click Invite to invite a tech who isn't on your FieldPay roster yet.

To invite techs automatically, turn on Auto-invite techs. FieldPay emails an invitation to every payable Skimmer tech who isn't already a member.

Choose your payout triggers

Payout triggers decide which completed work creates a payout request. Only the triggers you select create payout requests.

  1. On the Completed Work card, go to Payout Triggers.
  2. Select Route Stop to pay out completed route stops.
  3. Select each work order type you want to pay out, such as Repair or Filter Clean. Use Select all, Clear all, or search to find a type.

Preview before you go live

A preview shows what FieldPay would create, without creating any payout requests.

  1. On the Completed Work card, set Look back to the number of days of completed Skimmer work to check.
  2. Click Preview.
  3. Check that the right techs, triggers, and labor costs come through.

Choose how payout requests are approved

  1. On the Connection card, find Auto-approve payout requests.
  2. Leave it off to review each request in your approval queue, or turn it on to approve requests as soon as they're created.

The Test button on the Connection card checks that FieldPay can still reach Skimmer.

Turn on sync

The Sync switch unlocks once you have at least one payable tech and one payout trigger.

  1. On the Connection card, turn on Sync.
  2. Confirm in the window that opens.
You're all set. FieldPay keeps checking Skimmer for completed work that matches your triggers. The Last synced time on the Completed Work card shows the most recent check.

Pay work completed before you turned on sync

Sync only picks up work completed after you turn it on. To pay earlier work, like this morning's route:

  1. On the Completed Work card, set Look back to cover the work.
  2. Click Preview and check the results.
  3. Click Sync now and confirm.
FieldPay skips anything it has already processed.

Manage the integration

Once you're connected, the FieldPay card shows a Manage button. Click it any time to open the FieldPay detail page in Skimmer. Your payout settings (techs, triggers, approvals, and sync) stay in FieldPay.

Reconnect FieldPay

  1. Click Integrations Center on the left navigation menu.
  2. In the Connected Integrations section, find the FieldPay card and click Manage.
  3. Click Configure, then click Reconfigure.
  4. Get a new pairing code from FieldPay and paste it into the wizard.
  5. Click Finish.

Upgrade to a newer version

When a newer version of the integration is ready, an Upgrade button appears on the FieldPay detail page. Click it and follow the prompts. If you don't see the button, you're already on the latest version.

Disconnect FieldPay

Disconnecting stops Skimmer from sending completed work to FieldPay. Payout requests FieldPay already created stay in FieldPay.

  1. On the FieldPay detail page, click Disconnect.
  2. In the Disconnect FieldPay? window, click Disconnect to confirm.
Skimmer returns you to the Integrations Center, where the FieldPay card shows Available. To pause payouts without disconnecting, turn off Sync on the Connection card in FieldPay.

Troubleshooting

Can't connect to FieldPay

  1. The pairing code refreshes every 30 seconds. Copy a fresh code from FieldPay and paste it into Skimmer right away.
  2. If you're still stuck, contact FieldPay Support.

A completed job didn't create a payout request

  1. Check that the route stop or work order type is selected under Payout Triggers in FieldPay.
  2. Check that the job had a labor cost in Skimmer when it was completed.
  3. Check the tech's status on the Techs card. If they haven't joined FieldPay yet, their payout request is created once they join.
  4. Check whether the job was completed before you turned on sync. If it was, use Look back and Sync now to pick it up.
  5. Check the Sync Issues card on the Skimmer page in FieldPay. FieldPay retries failed imports automatically and lists anything that still needs attention there.

A payout amount is wrong

FieldPay uses the labor cost in Skimmer at the moment the job is completed. Update the labor cost on the service location, work order type, or work order before the job is completed.

A tech shows No email

Add an email address for the tech in Skimmer. FieldPay can then invite or match them.

Still stuck?

If none of these steps help, contact FieldPay Support. Include the customer, the date the job was completed, and the tech's name. That gets you a faster answer.
